The Executive Assistant will be responsible for defined work or projects with moderate complexity. In this role you will follow an individual work plan and meet day-to-day short-term objectives and resolve issues through immediate action or short-term planning.

Essential Responsibilities

As the Executive Assistant, you will:
• Support multiple marketing executives in the overall office management and administrative needs including calendar management, event and meeting coordination, global travel arrangements, staffing, presentations, purchasing and other daily administrative projects.
• Establish and maintain strong communication links with Group, Division, and Department level administrative personnel
• Proactively coordinate the executive's calendar, which is comprised of a heavy meeting schedule and extensive travel
• Plan, schedule, and arrange business meetings and events. Own location selection, attendee registration and overall logistics.
• Make complex travel arrangements and coordinates itineraries; maintain passport and visa requirements; prepare and reconcile expense accounts for the executives on the team
• Manage purchase orders, payment requests and the procurement of office and event supplies and collateral.
• Assist in managing expense accounts and budgets
• Coordinate inner office logistics and assist in onboarding activities for new hires
• Prepare presentations, reports, spreadsheets, meeting minutes and other business information
• Direct business contacts to appropriate managers
• Provide discrete and confidential coordination of sensitive company information
• Use discretion in interfacing with all levels of individuals, internally and externally
• Anticipate needs and accomplish responsibilities without direction
• Prepare, evaluate, and edit incoming and outgoing communications for the executives
• Manage multiple projects and priorities and initiate follow up to ensure timely achievement of commitments

Qualifications/Requirements

• Bachelor's Degree from an accredited university or college (or a high school diploma / GED with a minimum of 5 years of experience in an executive or administrative assistant position)
