The Establishment team is responsible for the welfare, health, safety and environmental requirements within our offices. We are responsible for the health, safety and welfare of all employees and for the day-to-day management of all office facilities. This role is being offered on a 10 month (approx) contract as maternity cover.

Primary Job Responsibilities:

  • Front desk reception; meet and greet visitors
  • Answer all incoming calls in a timely professional manner and taking messages as and when required
  • Manage answering machine - ensuring appropriate messages applied at relevant periods
  • HSE induction to all new visitors/clients to the office
  • Manage meeting room booking system
  • Setup meeting room(s) as required for meetings
  • Check facilities in meeting rooms on a daily basis
  • Assist with the logistics of meetings and ordering lunches
  • Manage Incoming/Outgoing Mail
  • Arrange Couriers/taxis
  • Binding/printing/copying
  • Ordering Stationery
  • Managing stock levels of stationery and recharging stationery to projects where relevant
  • Car park management and booking system
  • Manage and maintain office notice boards to ensure accurate, tidy and up to date
  • Assist with documentation for Compliance Management tool
  • Provide additional administrative support to the business from time to time
  • Provide support to the Establishment Manager and Office Leader as and when required


  • Experience of working in a busy receptionist role in an office environment
  • Excellent Microsoft Office skills, particularly Word, Excel, Powerpoint
  • Customer Service experience
  • Ability to communicate well both verbally and in writing, with staff at all levels
  • Excellent organisation and co-ordination
  • Ability to produce well-presented accurate reports
  • Quality control / attention to detail of information and own workload


  • Switchboard experience
