The position will provide direct support to the Department Head (DH) for the Information Technology, Information Management, and Information Assurance Department at Naval Air Warfare Center - Weapons Division (NAWCWD) located at China Lake, CA. This position will serve as the primary point of contact for internal and external constituencies on matters pertaining to the Office of the Department Head. Additionally, the position will serves as a liaison to the senior management teams; organizes and coordinates DH outreach and external relations efforts; and oversees special projects.

Department Level Support:
  • Completes a broad variety of administrative tasks for the Department Head (DH) including: managing an extremely active calendar of appointments; completing various reports; composing and preparing correspondence that is sometimes confidential; coordinating complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the DH's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the DH's time and office.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the DH, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the Department Heads office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the Department Head to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Department Head updated.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Department Head, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Department Head's ability to effectively lead the organization.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Senior Management Liaison:
  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
  • Facilitates cross-divisional coordination of travel and outreach plans Communications, Partnerships, and Outreach
  • Edits and completes first drafts for written communications to external stake holders Strategic Initiatives
Minimum Requirements:
  • AS or AA degree. ALLOWABLE SUBSTITUTION: An additional four (4) years of experience can be substituted for an AS or AA degree.
  • At least two (2) years of experience in a business or technical position.

  • Must hold an active U.S. DOD Secret Security Clearance.

Preferred requirements:
  • BS degree with five (5) years of experience or two (2) years of college and seven (7) years of experience in Business Administration, Communications/Customer Service, and providing IT/IM Support Services.
  • The ideal candidate will have the ability to exercise good judgment in a variety of situations with strong written and verbal communication, administrative, and organizational skills; the ability to maintain a realistic balance among multiple priorities; demonstrated proactive approaches to problem-solving with strong decision-making capability; Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and various web platforms

This position is a Jacobs's position and may be assigned to a teammate company (eLe, NDTI).

• Working at a computer or desk (Considerations: Sitting, Eyes, Hands)

• May involve long periods of sitting or standing depending on current tasking

Criticality of Attendance

• Normal hours are Monday - Thursday 7:00am - 5:00pm, non-flex Fridays 7:00am to 4:00pm

• Punctuality and regular attendance are necessary to meet deadlines

• Regular attendance is necessary and required

• U.S. Citizenship and ability to hold a permanent U.S. DOD Secret Security Clearance and Government CAC Card is required

• The ability to possess a Government CAC card required
