Job Overview:

CB&I currently has an opening for an Office Assistant and Customer Service Representative on a contract/part-time basis for Focus on Energy located in Madison, WI. Focus on Energy consists of many entities - program administrator, program implementers, trade ally contractors and other partners. We are looking for someone who is comfortable working with multiple parties on a variety of office related tasks. The Office Assistant will maintain office operations by receiving and distributing communications; maintaining supplies and equipment; and serving customers by providing phone and email assistance. Our office is situated in downtown Madison on the square with a great view of the capitol. This is a part-time position with reliable hours; 12:00 pm - 5:00 Monday - Friday. As part of the marketing and customer service team, you will both directly and indirectly provide support related to achieving Focus on Energy goals for customer satisfaction and energy savings.

Key Responsibilities/Accountabilities:
  • Provide administration and clerical support to the office including but not limited to: calendar management, greeting guests, webinar planning, ordering supplies, meeting planning & coordination, maintaining records, basic accounts payable & receivable functions; reports and other tasks as assigned
  • Serve customers by assisting Call Center Representative; answer phone calls; respond to voicemails and emails in a timely manner
  • Exhibit courteous telephone etiquette, professionalism, patience, and empathy while possessing the ability to communicate information effectively and actively listen
  • Make follow-up outbound calls to customers and other parties as part of resolution processes
  • Collecting and mailing correspondence; distribute mail; copying information
  • Maintains equipment by scheduling preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing postage meter funds
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Learn energy efficient programs and related terminology
  • Utilize Customer Relationship Management databases and call center systems to ensure prompt and accurate customer service and reporting
Basic Qualifications:
  • High School Diploma required
  • 2-5 years of related office administrative and customer service experience
  • Strong written/verbal communication skills
  • Strong service orientation with the ability to work across multiple departments and units within an organization, external work teams and multiple stakeholders
  • Computer knowledge including MS Office
  • General knowledge of electronic and office equipment (email, fax, printer, copier, etc.)
  • Detail-oriented with excellent time management, project management, and follow-through
  • Problem solving ability
Desired/Preferred Qualifications:
  • Associate or Bachelor's Degree in Communications or related field
  • Bilingual - Spanish language conversational/intermediate proficiency is preferred
  • Working knowledge of energy efficiency industry
