Position Summary

  • Provide customer service support on all facilities-related issues; troubleshoot customer issues
  • Provide a strategic outlook for all of the business areas in Services Branch.
  • Periodically benchmark how industry and other Government agencies are addressing the issues.
  • Managing the Agency's parking program
  • Manage all parking spaces at Headquarters and external facilities
  • Monitor parking policies and regulations
  • Manage the parking-related databases
  • Update parking maps
  • Write notices and articles relating to parking regulations and projects
  • Oversee and coordinate the Agency's various food services contracts including the coordination of inspections by FDA and municipal health departments, the scheduled repair of equipment, and the deployment of food services to new buildings
  • Oversee the build out, renovation, and recapitalization of the various food service locations
  • Oversee the recapitalization of the vending locations
  • Oversee the restocking of the various vending locations
  • Manage the Business Opportunity for the Blind stands, in accordance with the Randolph-Shepherd Act
  • Coordinate all facilities-related support necessary for special events on the
  • Headquarters complex and external buildings; provide conferencing support at the Conference Center
  • Arrange for catering
  • Schedule and arrange for delivery of special equipment, special cleanings, and security monitors
  • Coordinate with the customer, Protocol, and various contractors
  • Maintain the 2620 (Work Order) Database, or its replacement
  • Assign work order/project numbers
  • Close out projects
  • Archive project file folders; maintain hardcopy folders in the file room and softcopy files online
  • Oversee the recently implemented (July 2006) Freedom Pay program
  • Schedule repair and maintenance of equipment
  • Manage customer expectations
  • Manage the Fast Card, now FASTR Program, including its promotional marketing and solicitation of new customers
  • Issue Fast Cards, and enter data into CostPoint when necessary
  • Provide project management support to various special projects including construction, special events, external building support, and other Services-related projects
  • Process requests for security access, award plaques, and imaging and publishing support services
  • Perform administrative duties, including answering telephones and or faxes; preparing written correspondence; assisting with logistics support; processing parking permits; receiving, validating, and filing invoices; and accepting requests for security monitors
  • If the customer is a contractor, create an Industrial Contractor letter
  • Create online travel requests, vouchers, and airline reservations
  • Compile all security monitor requests received through various methods; verify information and completeness of requirement; input data into system database
  • Coordinate requirements with ISMACS Program scheduler; make changes as necessary, add notes to database; verify monitor requirements with Construction Branch as necessary
  • Provide senior administrative support
  • Review outgoing official correspondence for correct English usage, spelling, and punctuation; ensure proper format
  • Track action items for division(s)
  • File hard- and soft-copy documentation
  • Maintain coverage of incoming telephone and online requests for service
  • Organize and schedule meetings for senior managers
  • Compose clear and concise responses to customers' queries
  • Write and coordinate policy updates
  • Provide Division budget tracking and analysis

  • Bachelor's degree in any field, high school diploma or GED with 5 years of experience in the discipline, or service in the US Armed Forces with an honorable discharge
  • A minimum of 1 year of experience at the Developmental level in the discipline
  • Ability to handle multiple, demanding, and complex projects in a timely manner with accurate results
  • Ability to work independently and as a team player
  • Proven record as an effective administrator with the ability to communicate well at all organizational levels
  • Experience utilizing Microsoft Excel, Word, and PowerPoint software
  • Strong commitment to mission support

  • Outstanding customer service skills
  • Strong interpersonal relationships
  • Thorough understanding and commitment to sound program management techniques
  • US Citizenship required
  • TS+ Clearance required
