Main Purpose of job: To support the Facilities team in administrative matters ( Helpdesk, Building Management Systems, Fleet, Access Control, Health & Safety Audits, Corporate Responsibility and Environment). Duties: *To raise purchase requisitions *Run helpdesk and liaise with contractors & staff *To process and deliver stationery orders *Maintain diary system for and carry out DSE Assessments *Support Corporate Responsibility Advisor. Environment initiatives & Community Involvement Programme) *Support Administration Controller and Facilities Technical Team *Handle enquiries received by telephone, e-mail or other correspondence *Maintain access control and building management system *Carry out general administration (typing, filing etc) *Meet external suppliers and negotiate tenders as appropriate *Report on Fleet and other ad hoc reporting *Able to manage and prioritise workflow effectively and efficiently Person Requirements: GCSE or equivalent in English & Maths. Administration experience. Excellent Communications Skills. Experience of working within a busy Facilities/Property team NVQ Level 2 Business Administration and knowledge of Health & Safety & Environment. Use of Auto CAD & Space Planning would be beneficial although not essential. Experience of Fleet Administration Professional and positive attitude. Prompt, reliable and trustworthy. Good time management skills *Must work within agreed service levels and to deadlines set. Good organisational skills and ability to take ownership of problems. Knowledge of carrying out DSE Assessments *Must be flexible and able to work under pressure to ensure individual or team objectives are met *Ability to be on call if necessary *Must possess good problem resolving skills especially when handling support desk calls / requests *Proactive in anticipating problems *To participate and work within a small team structure *Good writing, telephone and listening skills. Ability to meet and negotiate with external suppliers. Patient, objective and assertive. *Comfortable and accurate use of IT packages.
